Our Process

How Harbor Walk Works

Simple, personal, and completely free. Here is exactly what happens from your first call to move-in day.
Step by Step

Your Journey With Us

01

You Reach Out — By Phone or Online

The process begins with a simple phone call to (948) 888-3464 or a message through our contact form. There is no intake form, no automated system, and no wait — you speak directly with one of our two advisors. We will schedule a free 20-minute consultation at a time that works for your family — including evenings and weekends.

💡 Tip: The sooner you call, the more options you have. Many families wait until a crisis — a fall, a hospitalization, a safety incident — and then face pressure to decide quickly. Calling early gives you time to make the right choice, not just the fastest one.
02

We Listen — The Discovery Consultation

During your free consultation, we take time to understand your loved one's full picture: their current care needs, medical conditions, mobility, cognitive status, and daily living abilities. We also learn about your family's priorities — location, community culture, amenities, and timeline. Most importantly, we talk about budget. We help families understand all available funding sources — private pay, long-term care insurance, VA benefits, and Medicaid — so that cost does not become a barrier to the right placement.

📋 What we cover: Care needs assessment · Medical and mobility status · Cognitive and behavioral considerations · Desired location and community preferences · Monthly budget and funding sources · Timeline and urgency
03

We Research — Building Your Personalized Shortlist

Within 24–48 hours of your consultation, we research our network of 40+ Hampton Roads senior living communities and identify the 2–4 options that best match your loved one's needs, your family's preferences, and your budget. We do not send you a generic list of twenty communities and leave you to sort through them. We curate a shortlist of communities we personally know, have toured, and believe are genuinely the right fit — and we explain exactly why we chose each one.

🔍 Our network includes: 12 assisted living communities · 7 life plan / CCRC campuses · 5 standalone memory care communities · 7 skilled nursing and rehabilitation facilities · Residential care homes across all 9 cities
04

We Tour Together — In Person, With You

We coordinate all facility tours and accompany you in person. This is one of the most important things that sets Harbor Walk apart from online placement services: we are physically there with you, helping you ask the right questions and notice the things that matter. We know what to look for — staff interactions, cleanliness, activity engagement, dining quality, and the intangible feeling of whether a community is truly caring for its residents. We share our observations honestly, even when they are not what a facility wants to hear.

👁️ What we watch for on tours: Staff warmth and responsiveness · Resident engagement and happiness · Cleanliness and odor · Dining quality and variety · Safety features and secured areas · Activity programming and social culture
05

We Guide the Decision — Contract and Move-In

Once your family has chosen a community, we help you navigate the contract and admissions process. We review the residency agreement with you, explain what to look for, and flag any terms that warrant questions or negotiation. We coordinate with the community's admissions team, help with the move-in timeline, and stay available to answer questions throughout the transition. Our relationship with your family does not end at the contract signing.

✅ We help with: Contract review and explanation · Admissions paperwork coordination · Move-in timeline planning · Physician orders and health assessments · Post-move-in follow-up check-ins
Common Questions

Frequently Asked Questions

Is your service really free?
Yes — completely free to families. Harbor Walk is compensated by the senior living community when a placement is successfully made. This is a standard, regulated practice in the senior placement industry, similar to how a real estate agent is paid by the seller. You receive full advisory services at no out-of-pocket cost.
No. We recommend communities based on fit — not on commission size. Our reputation depends on families being genuinely well-placed, and we work with communities across a wide range of price points. We also help families identify all available funding sources, including VA benefits and long-term care insurance, to maximize their options.
We understand that many families contact us during a hospital discharge or after a safety incident at home. We can move quickly — often identifying options and coordinating tours within 24–48 hours. Call us directly at (948) 888-3464 and let us know it is urgent.
We keep looking. Our goal is to find the right fit, not to close a placement. If the first shortlist does not resonate, we reassess, ask more questions, and identify additional options. There is no pressure and no deadline on our end.
We can help families understand the Medicaid landscape and identify communities that accept Medicaid — though Medicaid-funded placements are more limited in scope. We recommend consulting with an elder law attorney for full Medicaid planning. We are happy to provide referrals to trusted elder law attorneys in Hampton Roads.
Yes. Hospital discharge placements are one of the most common situations we handle. We work directly with hospital social workers and discharge planners to coordinate a smooth transition to the right community. Call us as soon as you know a discharge is coming.
Yes. We serve Virginia Beach, Norfolk, Chesapeake, Newport News, Hampton, Portsmouth, Suffolk, Gloucester, and Yorktown. Our network includes 40+ communities across all nine cities.
The Goal

A New Chapter, Not Just a New Address
